Auction Coordinator – Ouelessebougou Alliance
Part-time, temporary
The Alliance is seeking a contract Auction Coordinator to assist with the 34th Annual Gala held on Saturday, April 25, 2020 at Little America Hotel in Salt Lake City. This is the Alliance’s signature fundraising event and the Auction Coordinator will play a key role in its success. This is an excellent opportunity for someone seeking to increase their event management, non-profit or fundraising experience…or for someone who simply wants to help with a great cause!
Responsibilities:
The Auction Coordinator report directly to the Director of Development and work closely with the Executive Director, auction interns, board and volunteer committee in planning and executing the dinner, silent and live auction and other fundraising activities. The Auction Coordinator will directly oversee the Volunteer Management portion of the event. Responsibilities include:
  • Soliciting live and silent auction donations from local and national supporters
  • Assist with sponsorships and table sales
  • Entering data/donations in auction software Greater Giving
  • Assisting with delivery coordination and picking up donations
  • Completing donor receipts and thank-you notes, updating donor database
  • Helping package gift baskets and creating descriptions, bid-sheets
  • Assisting with pricing, print and prepare bid-sheets
  • Recruiting, communicating with and managing day-of-event volunteers 
  • Organizing and overseeing event clean-up
Qualifications:
  • RELIABLE! Self-directed and committed to completing terms of contract employment and fulfilling all responsibilities to make the event a success
  • Able to work in a team environment as well as with little supervision
  • Experience working with and managing volunteers
  • Fundraising, sales and customer service experience
  • Event management and auction experience a plus
  • Detail-oriented and deadline driven; strong organizational skills
  • Excellent interpersonal, verbal communication and writing skills
  • Comfortable requesting donations over phone or in-person
  • Proficiency in MS Office (Word, Excel) and data entry, familiar with Google Drive
  • Greater Giving knowledge a plus
Pay:$11 – $14/hr
Schedule:
  • December 9 – 20 (train for– 8 hrs)
  • December 21 – January 18 (4 hrs/week from home)
  • January 20 – April 23* (12 – 15 hrs/week)
  • April 24 (8 hours mandatory)
  • April 25 (16 hours mandatory)
  • April 27 – May 8 (8hours/week in office)
* some evening work will be required in April but schedule is flexible

AUCTION INTERN
Spring Semester 2019

The Alliance is seeking interns to support our signature fundraising event, the 34th Annual Gala Auction to be held on April 25, 2019 at Little America Hotel in Salt Lake City. This internship is an excellent opportunity to experience various aspects of fundraising, event planning and marketing while working for a great cause.

Description of Job Duties:

 

  • Solicit in-kind donations for silent auction by phone, email and/or in person visits
  • Perform detailed data entry on donors, solicitations and auction items
  • Arrange for and/or pick-up silent auction items
  • Assist with silent auction packaging, creating gift certificates and other event preparations
  • Promote event and recognize donors online and through social media channels
  • Assist with event coordination, set-up/clean-up, volunteer management and other duties as assigned

 

Qualifications:

 

  • Enthusiasm for the mission of Ouelessebougou Alliance and humanitarian work
  • Comfortable making solicitations, sales and event experience preferred but not required
  • Self-motivated and dependable! Committed to finishing projects and requirements of internship
  • Ability to take initiative and work independently as well as in a team environment
  • Excellent communication and organizational skills
  • Strong computer skills including Microsoft Office programs, Google Docs, data entry, social media, etc.

Location: 525 Ease 4500 South , STE F-115  Millcreek, UT 84107

Salary: Intern will receive a $500 stipend at the completion of the internship. We will also work with students to meet requirements for academic credit.

Schedule:  16 week internship from January 21 – May 9th. Flexible scheduling can be arranged; however, hours must be worked in the office between 9 – 5 p.m. Monday – Friday unless otherwise indicated.

 January – March               15 – 20 hours/week
April                                       Extended event hours – some evening and Saturday work
April 24                                 8 hours ALL DAY (mandatory)
April 25                                 15 hours ALL DAY (mandatory)
April 27                                 6 hours (mandatory)
April 28 +                             6 hours
